Founded in 2010 by Kerry Sheldon, Bridgeport is a small and mighty firm headquartered in Ann Arbor, Michigan. The Bridgeport team includes the founder, three full-time employees, and other part-time or project-based contractors. All employees and contractors report to the founder.

Position Posting: Administrative Lead

Overview

Bridgeport seeks a teammate who will ensure the excellence of all Bridgeport’s administrative functions. The core responsibilities of the position are described below in the section titled “Responsibilities.”

The ideal candidate will be highly organized, detail-oriented, and self-motivated, with the ability to develop and/or refine effective systems to uphold the quality of their work. Strong consideration will be given to candidates who are positioned to make Bridgeport their primary work commitment for a minimum of two years.

The time commitment required for the position is 30 hours per week.

Bridgeport does not have an office; each of us works from home and/or our clients’ workplaces. You will be expected to live our values, as described in detail on our website, when you interact with the team and with clients. This position requires fluency with Microsoft Office (Word, Excel, PowerPoint), the Google suite of tools (Gmail, Calendar, Docs, Sheets, etc.) and QuickBooks. Training can be provided around tools you are unfamiliar with.

Responsibilities

  • Attend virtual and in-person client and Bridgeport team meetings as directed (in-person meetings will take place in Southeast Michigan)
  • Manage logistics around client and team meetings, which involves researching/securing venues; visiting potential meeting locations to test virtual meeting and presentation technology, ordering (and sometimes picking up) refreshments; setting up and resetting meeting rooms as needed; supporting meeting participants in registering attendance; and similar tasks
  • Coordinate schedules among our team and clients to set and adjust meetings
  • Forecast and troubleshoot potential calendar conflicts and plan for staff capacity
  • Prepare, proof, and edit professional documents, which could include transcribing hand-written notes, meticulous proofreading, and/or making improvements to documents’ formatting
  • Research and suggest process improvements and/or work tools that could meet the emerging needs of our team
  • Support the team’s QuickBooks time entry process
  • Prepare all invoices with a high degree of accuracy and precision within the first five business days of each month
  • Prepare expense reports, track mileage, and reconcile the team’s credit card receipts against monthly statements; coordinate with Bridgeport’s accountant on all the above to ensure accurate and timely month-end processes
  • Adhere to a strict standard of confidentiality, to protect clients and Bridgeport

Desired Characteristics

  • Attention to detail: Many of your tasks require meticulous attention to detail – creating invoices, for example, allows for close to zero error margin.
  • Communications: Excellent written and oral communication skills are a must.
  • Responsiveness: You are expected to respond to all emails within one business day, and more rapidly if the issue is clearly identified as time-sensitive; we frequently communicate via text as well.
  • Candor: We are committed to practicing direct, honest, and kind
    communications with our clients and teammates.
  • Connection: We are looking for someone with the ability to connect with our clients so the person on the other side feels genuinely heard and cared for.
  • Punctuality: Bridgeport defines “on time” as arriving at least five minutes prior to the start of a meeting/call.
  • Collaboration: You will be an integral part of the Bridgeport team. We wholeheartedly support one another and are committed to each other’s success.
  • Leadership: With time, we expect that you will develop a sense of ownership over the logistical and administrative support that you provide, and actively seek new ways to ease the logical and administrative burden on other team members and clients.

Benefits and Compensation

The salary range for this position is between $45,000-$55,000 per year. Bridgeport does not provide employer-paid health or life insurance at this time. The successful candidate is eligible to participate in Bridgeport’s retirement savings plan, which includes a 3% company match on your contributions
